Making a Booking.

WHEREVER, WHENEVER

Book the space you need; desks, meeting rooms, collaboration areas, or specialist spaces.

You can book:

Organisations define the booking rules, including availability, approval workflows, and which add-ons can be included, ensuring every booking adheres to internal policies. Users can then reserve the spaces they need for any time slot and invite others when needed.

Adding Resources.

ADD MORE, DO MORE

If your organisation supports resource stores, users can enhance their booking with extra equipment or items required for their meeting or activity.

IBSS apps let users:
Add IT equipment, AV items, and collaboration tools
Select only the resources approved or available for their team
Modify or remove added items at any time

This ensures every booking is fully supported and ready to use.

Selecting Linked Spaces.

CONNECT ROOMS, EXPAND POSSIBILITIES

For larger events or expanded activities, users can book adjacent spaces or rooms that can be merged into a single combined area.

For examples:
Booking two meeting rooms that open into one
Extending an event space
Increasing capacity for workshops or presentations

The system clearly shows which spaces can be linked and allows users to reserve them together.

Checking into your booking ensures the system knows the space is in use and prevents unnecessary no‑shows.

Standard Check‑In Options

Check‑in through meeting room tablets
Desktop check‑in when working at your workstation
Automated Check‑Ins (Access Control Integration)

With Access Control integration, users can automatically check in simply by entering the building or passing designated access points, no manual action needed.

Policies.

CLEAR RULES, SMARTER BOOKINGS

Organisations define the rules that shape the entire booking journey, including:

What spaces can be booked and by whom
Approval requirements
Limits on booking durations
Which add‑ons (resources, catering, layouts) are available
Cancellation and no‑show rules

Policies ensure consistency, fairness, and efficient use of workplace resources.
